Managing Day-to-Day Personal and Administrative Demands of a Busy Clinic Owner

For this clinic owner, independently handling a wide range of recurring and ad hoc tasks resulted in daily interruptions and added mental load, including:

The Client needed an Executive and Personal Assistant who could take over these recurring responsibilities, manage personal and administrative coordination reliably, and help free up time for higher-value work and personal priorities.

Our Solution

Outpost assigned a dedicated Executive and Personal Assistant to support the clinic owner across both business and personal administrative tasks.

We first aligned the assistant on the Client’s priorities, communication preferences, and recurring responsibilities, then structured the role around four key areas:

  • Clinic administration support for insurance claims, reimbursement follow-ups, and related documentation
  • Patient communication and scheduling to help coordinate appointments and routine follow-ups
  • Personal calendar management for medical appointments, wellness sessions, housekeeping, and other personal commitments
  • Procurement and returns coordination for groceries, ad hoc purchases, refunds, and online returns

The assistant worked primarily on weekdays, with weekend and public holiday support only when urgent assistance was specifically required by the Client.

This gave the clinic owner a single point of support for both professional and personal administration.
