Verified virtual staff with ironclad NDAs
Our assistants all go through background checks and verification and clients will receive a documentation of this check. All assistants also sign strict non-disclosure agreements.
PDPA and ethical training
All assistants complete Outpost’s internal training programme, which covers PDPA principles, responsible handling of personal and confidential information, and appropriate workplace conduct. Assistants are trained on practical data-handling practices such as access control, confidentiality, information sharing, and recognising situations that should be escalated.
Ongoing management and accountability
Privacy protection does not stop after onboarding. Outpost maintains oversight of our virtual staff, reinforces internal policies and procedures, and can work with clients to implement additional controls where the nature of the role involves more sensitive information.
Password sharing (optional, depending on preference)
Clients may choose to provide system access through a secure password management tool, allowing assistants to log in without directly viewing or receiving the actual password. We generally recommend Google Password Manager.
Work Activity Monitoring
During working hours, staff activity may be monitored through application and website usage tracking, together with periodic random screenshots. This provides additional oversight and helps ensure that client systems and information are accessed only for legitimate work purposes.
Secured Computer
All agents work on computers protected by approved antivirus and anti-malware software, with security measures kept up to date to reduce the risk of malicious software, unauthorised access, and data compromise.

Additional privacy and security measures can be added individually.
BYOD Infomation Security Management
All assistants are required to work only from devices that meet Outpost’s security requirements and are enrolled in our Mobile Device Management (MDM) system. Devices must have encryption, up-to-date security protection, password controls and multi-factor authentication enabled where applicable.
Outpost-Issued Secure Computer
For clients with higher security or confidentiality requirements, assistants can work exclusively from an Outpost-issued computer rather than a personal device.
The computer is dedicated to work use and centrally managed by Outpost, allowing tighter control over installed software, security settings, data storage and user access.
