Managing High-Volume Enquiries Across Multiple Channels
For car detailing and paint protection providers, customers often have detailed questions about packages, vehicle suitability, and appointment availability before making a booking. Fast and knowledgeable responses are needed for converting these enquiries into sales.
For this Singapore-based car detailing and paint protection company, solely managing 60 to 100 customer enquiries daily across multiple channels resulted in:
- Delayed responses during peak and promotional periods
- Missed sales opportunities due to lack of prompt follow up
- Difficulty maintaining consistent service across a 14-hour operating window
- Inconsistent communication and handovers between team members
- Additional pressure on the operational team to manage both customers and ongoing appointments
The company needed a team of customer service representatives with sales capabilities to provide extended-hours coverage for answering product-related questions, recommending suitable services, following up with prospective customers, and converting enquiries into confirmed bookings.

Our Solution

Outpost built an extended-hours customer service and sales support team to manage the company’s high volume of enquiries from 8am to 10pm, seven days a week.
The staffing arrangement combined two full-time representatives covering separate morning (AM) and evening (PM) shifts for five days, with a part-time representative (full shift) managing the remaining two days.
- Multi-channel enquiry handling for approximately 60 to 100 customer messages daily
- Service and package recommendations based on the customer’s vehicle, concerns, and budget
- Clear explanation of pricing and promotions to help customers make informed decisions
- Appointment coordination for detailing, ceramic coating and paint protection services
- Sales follow-ups with interested customers with no confirmed bookings
- Structured handovers and escalation for enquiries requiring assistance from on-site team
- Customer and booking updates to keep the company informed during busy sales periods
This gave the company consistent coverage throughout its extended enquiry hours, which reduced pressure on the on-site team and ensured that potential customers received timely assistance while their interest was still high.
Training, Documentation, and Rapid Staff Replacement
Before handling live enquiries, the representatives completed Outpost’s in-house customer service and sales training, followed by five days of account-specific training conducted by the client’s team. This covered the company’s services, pricing, promotions, booking procedures, sales approach and escalation process.
Outpost then converted the training into structured SOPs, training guides, and assessment materials. These resources made it easier to evaluate future candidates and standardise onboarding. This reduced the need for the client to repeat the same training each time.
During the initial deployment, one full-time representative did not meet the required performance standards. Outpost responded by sourcing and fully onboarding a replacement within five days.
The documented account’s processes enabled the replacement to be trained and evaluated quickly while maintaining consistent customer service coverage.

The Outcome
Following implementation, the car detailing company achieved:
- Increased customer service coverage from 8am to 10pm, seven days a week
- 100% capacity to manage 60–100 enquiries daily across multiple communication channels
- More consistent sales follow-ups and booking coordination
- 90% faster response time to accommodate “hot” customer enquiries
This gave them a more reliable customer service and sales function, reduced pressure on its on-site team to ensure that enquiries were attended to throughout its extended operating hours.

Customer service representatives managed by Tansi, with 4 years experience working across different SMEs
We were initially unsure whether a remote customer service team could pick up our services quickly, especially since our packages can be quite technical and customers often need recommendations before making a decision.
But Outpost took the time to learn how we work, document our processes, and train the team properly. We now have customer enquiries covered from morning until night, including weekends.
It has taken a lot of the customer service workload off our internal team and given us much more confidence that enquiries are being attended to.
